A guide to every part of the platform: learning, managing a team, authoring courses, administering the organization, running compliance training, and building on the API.

Getting started

  • Create an account from the Get Started button, or sign in if your administrator invited you. Invited accounts receive an email with a one-time code; open the link, choose "I have a code" and set a password. Administrators can also turn self-registration off, in which case all accounts are created or imported for you.
  • Forgot your password? Use "Forgot password" on the sign-in page; a code is emailed to you when email delivery is configured. Otherwise your administrator can set a new password from User Management.
  • The portal you land in depends on your role: learners go to My Learning, instructors to My Courses, administrators to the admin Overview. Multi-role accounts switch portals from the header.
  • The bell in the header is your inbox: assignment notices, reminders, nudges from your manager and decisions on requests. Ctrl K (or ⌘K) opens a search across courses and pages.

Learning

  • Browse the Catalog to see every published course, filter by category, read ratings and reviews, and enroll with one click (unless your organization has turned self-enrollment off, in which case courses are assigned to you).
  • Courses are organized into modules and units. Units unlock in order as you complete the previous one; some courses leave orientation units open from the start. A live timer tracks learning time and pauses when the tab is in the background.
  • Quiz units are graded on the server. You see the pass mark, time limit and attempt allowance before you start; a timer auto-submits when time runs out, and your best result counts. Whether correct answers are shown afterwards is up to the course author.
  • The AI Tutor inside the player answers questions grounded in the course you are studying, when your administrator has enabled AI features.
  • Completing a course that issues certificates puts a PDF under Certificates. Each carries a public verification link; some certificates expire after a validity period set by the administrator.
  • Rate and review a course you have taken from its page. Reviews may wait for moderation before they appear, and instructors can reply publicly.
  • The Leaderboard ranks learners by points for completed courses, units, certificates, quiz passes and learning hours. You can hide yourself from it under My Profile.

My Training Plan and My Transcript

For organizations that assign training, two pages in the learner portal keep obligations and evidence in one place.

  • My Training Plan lists everything assigned to you, grouped by urgency: overdue first, then due soon, then upcoming, then completed and exempt. Each card names the training, the course behind it, the due date and your progress, with a Start or Continue button.
  • Required training counts toward your compliance status and is visible to your manager and the training team; recommended training is shown on your plan with reminders only.
  • You are reminded before a due date, on the day, and after it. Overdue required training is also reported to your manager, who may send you a nudge.
  • Some training recurs (for example annually). When a renewal cycle opens, the course is reset so you complete it again, and the previous completion stays on your record.
  • My Transcript is your complete history: assignments and their outcome, enrollments, certificates and any approved exemptions. Download it as CSV to share with an employer or auditor.

For managers (My Team)

My Team appears automatically for anyone with direct reports. No special role is needed.

  • See each report’s compliance state at a glance: overdue, due soon, on track or nothing open, with their next due date and completions this year. Red items sort first. Switch on "Include indirect reports" to see your whole subtree.
  • Nudge sends a reminder for every overdue or due-soon item. The same record can only be nudged once every few days (the cooldown is set by your administrator).
  • Open a report to see their assignments, progress and course list, nudge a single item, or request an exemption with a reason and optional expiry. The training team decides; both of you are notified.
  • Going on leave? Delegate your team to a colleague for a date range. They can view, nudge and request exemptions on your behalf while it is active, and the delegation is audited.
  • Managers see progress and compliance only, never quiz answers or the text of feedback written by their reports.

For instructors

  • Create a course from the Instructor portal and build it module by module, or import a whole SCORM 1.2/2004 package as a zip: every item in the manifest becomes a unit. Re-uploading an updated package replaces matching units in place.
  • Unit types: SCORM, xAPI, HTML5 bundle, video, document, quiz and AI tutor session. Set a passing score to gate certificates, choose which units are unlocked from the start, and assign admin-managed categories and tags.
  • The Question Bank holds reusable multiple-choice, multi-select, true/false and short-answer questions with difficulty, tags, explanations and optional course scope. Import questions from CSV or JSON, or draft them with AI from a course outline and review before saving.
  • A quiz unit is assembled from bank questions: set the pass mark, time limit, attempt cap, shuffling and whether correct answers are revealed. The Results tab shows attempts, scores and pass rates per learner.
  • Submit a course for review when it is ready; a reviewer approves it into the catalog. From the course page track per-unit completion and drop-off, read feedback and reply publicly, and duplicate a course (content, quiz and SCORM files included) as a starting point for a new one.

For administrators

  • User Management: search and filter users, create or invite accounts, import many at once from CSV, bulk-activate or deactivate, reset passwords, revoke sessions, and open a user’s activity (enrollments, certificates, recent actions). Roles & Permissions lists eight built-in roles with granular resource:action permissions, plus any custom roles you define.
  • Enrollments: assign published courses to many learners at once, change an enrollment’s state, mark it complete (which issues the certificate) or reset a learner’s progress. Certificates: the full register with search, manual issue, revoke and reinstate.
  • Question Bank, Course Feedback and Leaderboard pages give you the organization-wide view: every question, every review awaiting moderation (approve, hide, respond, delete), and leaderboard settings, exclusions and manual point awards.
  • Announcements reach learners, instructors or admins on their dashboards, with scheduling, pinning and expiry. Reports cover course performance, users, certificates and an audit-log explorer with CSV export; System Health shows database, storage and email status.
  • System Settings controls self-registration and self-enrollment, certificate validity, feedback moderation, leaderboard scoring, the maintenance banner, AI features, compliance reminders and the public API playground.
  • Every administrative change is written to the Audit Log with the acting account, timestamp and details.

Training operations (corporate training)

The Training Operations group in the admin sidebar turns the platform into a compliance system: who must learn what, by when, whether they did, and proof of it.

  • Organization: a department tree (up to six levels), job roles, locations and reporting lines. Place people individually, or import from HR as a CSV keyed by employee id: departments, job roles and locations named in the file are created on the fly, managers are matched by employee id or email, and a status of "left" deactivates the account. Preview before you import.
  • Audiences are saved targeting rules: department (with or without sub-departments), job role, location, manager, hire-date window, plus explicit include and exclude lists. Membership is dynamic and previewed live, so you never assign training to nobody or to everyone by mistake.
  • Assignments pair a published course with an audience and a due rule: a fixed date, N days after assignment, or N days after hire date, with a grace period, optional recurrence with a renewal window, and an option to require a valid certificate. The review step shows exactly how many people will be assigned before you activate.
  • The evaluator runs on a timer (and immediately after imports, placement changes and activation): it opens one record per person per cycle, enrolls them, closes records when the course is completed, drops untouched records for people who leave the audience, opens renewals, and sends the reminder ladder: learner reminders before the due date, overdue notices to learner and manager, and an escalation digest to the assignment owner.
  • Compliance shows counts and trend for any scope, a department roll-up, and the people × training matrix where every cell drills to the record, with CSV export for audits. Exemptions requested by managers or the training team are approved or rejected here, with the reason and decision kept for the register.
  • Roles: the training_manager role holds everything in this group without platform-wide rights; auditors get read-only access; managers act on their reports through the reporting line, not a role.

For developers

  • The same REST API that powers the portals is available to integrations. The public Developer Playground at /developers lists every endpoint with its permissions and body schema, and lets you try calls with a read-only sandbox session, your own account, or an API key. An OpenAPI 3.1 document can be imported into Postman or Insomnia.
  • Administrators create API keys under Developer → API Keys & Logs. A key acts as its creator but only within the scopes chosen at creation (which can never exceed the creator’s own permissions), has a per-minute rate limit, optional expiry, and can be revoked instantly. Send it as an X-API-Key header.
  • Every request made with a key, from the console or from the sandbox is logged with status and duration; the Usage tab shows 24-hour volume, error rate, top endpoints and per-key counts.
  • The admin API Console adds saved collections and shareable environments with {{variables}}, example bodies generated from the validation schema, and copy-as-cURL.

Supported content formats

  • SCORM 1.2 and SCORM 2004 (3rd/4th edition) packages uploaded as zips; launch URLs, mastery scores and multi-SCO navigation are read from the manifest.
  • xAPI statements from content land in the platform’s built-in store.
  • HTML5 bundles with the platform SDK (call DTCLMS.reportProgress() from your bundle), plus video, document and quiz unit types.
  • People and question imports accept CSV; questions also accept JSON.

Roles at a glance

  • super_admin: everything, including organizations and integrations.
  • org_admin: everything within the organization except role definitions.
  • training_manager: organization structure, audiences, assignments, exemptions, compliance and transcripts.
  • instructor: create and manage own courses, question bank, quiz results and learner progress for own courses.
  • content_reviewer: approve or reject courses submitted for review.
  • trainer: read-only view of structure and audiences (session delivery arrives in a later release).
  • auditor: read-only access to reports, audit logs, compliance and transcripts.
  • learner: enroll, learn, review, see own certificates, plan and transcript. Any role with direct reports also gets My Team.
